Users vs employee

Dear all,
I noticed that on many tasks and time logs the person who do the task has to be a user.  Why is it so?
I'm in the situation were we only need 2-5 erpnext users but we have many employees.
If I want to keep tracks of who do some specific tasks, I need to put the employee name not the user.  Is there a way to do that?
Thanks
François

Make all your employees users. You are not using the power of ERPNext if you don't do that.

but that puts you into the next level of cost (which admittedly is relatively low) and it also increased your security exposure if you are really just noting who did what...

Is there something I don't understand?

We went that path with Sales Person and regret it. 99% of users would find it much better to have one identity.

It also gives to ability to manage permissions etc.

I fully agree with Rushabh on this the cost of erpnext is really low for anyone to really think about in terms of users since the system is not based on user based licence and I would also recommend that every user get their own userid.

By the way, I would like to ask François de Ryckel that how is he assigning the tasks to employees who don't have a userid and how come you could track the same.
What would be the point of assigning a task to employees when they cannot see the same?

I am presuming that you are not using the userids on the shared basis since no userid can work with multiple logins in the system.

@rushabh: Brings us to the point where I guess sales persons should be made same as userid, its long pending.

The task is not for the employee to see, it is just to keep record of who did what.  In a farm, there are 100s of workers who are not working in a office with computers but it is nice to keep track of who was a suerpvisors for that job, who was responsible for that part, etc.

Now I get the situation right, in that case you could probably create a custom field in the TASK/TODO as FARMER and make that field maybe linked to employees or even keep that field as a data field so that you could keep track of the tasks assigned to the farmers.

We went that path with Sales Person and regret it. 99% of users would find it much better to have one identity.

It also gives to ability to manage permissions etc.

Make all your employees users. You are not using the power of ERPNext if you don't do that.

Definitely.

Add Custom field as a link field and in options write Employee, that should give you a field in the TODO which would fetch all the employees.

Here is a screen shot:

I fully agree with Rushabh on this the cost of erpnext is really low for anyone to really think about in terms of users since the system is not based on user based licence and I would also recommend that every user get their own userid.
I agree that the cost is affordable that erpnext is just a fantastic erp for that low price.  That said on frappecloud, the system is based on the number of user.  Over 2 users it does put you to the next level.

By the way, I would like to askFrançois de Ryckel that how is he assigning the tasks to employees who don't have a userid and how come you could track the same.
Well we can't, because tasks are limited to users.  I'm in the situation where many employees are not users, but I still like to know who did that tasks or that job.

What would be the point of assigning a task to employees when they cannot see the same?
The task is not for the employee to see, it is just to keep record of who did what.  In a farm, there are 100s of workers who are not working in a office with computers but it is nice to keep track of who was a suerpvisors for that job, who was responsible for that part, etc.

I am presuming that you are not using the userids on the shared basis since no userid can work with multiple logins in the system.
Correct.
