Fee setup scenario

A quick one here. I have the following setup:

Program

Diploma in ICT Year 1 Term 1
Diploma in ICT Year 1 Term 2
Diploma in ICT Year 1 Term 3

Academic Terms

Term 1 2017:- 1/1/2017 to 30/04/2017
Term 2 2017:- 1/05/2017 to 31/08/2017
Term 3 2017:- 1/09/2017 to 31/12/2017

How will i set the fee bearing in mind that there are 3 intakes in a year. January intake, May intake and September intake.This means that someone can join a program eg Diploma in ICT Year 1 Term 1 in either 1/09/2017 or 1/1/2017 or even 1/05/2017.While setting the fees for Diploma in ICT Year 1 Term 1 , Diploma in ICT Year 1 Term 2, Diploma in ICT Year 1 Term 3 should we set it as follows?

Diploma in ICT Year 1 Term 1

  • Fee structure for Term 1 2017
  • Fee structure for Term 2 2017
  • Fee structure for Term 3 2017

Diploma in ICT Year 1 Term 2

  • Fee structure for Term 1 2017
  • Fee structure for Term 2 2017
  • Fee structure for Term 3 2017

Diploma in ICT Year 1 Term 3

  • Fee structure for Term 1 2017
  • Fee structure for Term 2 2017
  • Fee structure for Term 3 2017

Isn’t there should be single fee structure for this instead of three as program already represents the Term 1? (if the total fee amount for all the three intake is same)

Yes fee is the same. From your explanation i have to set my fee as follows:

Program: i.e Diploma in ICT Year 1 Term 1
Academic term: Term 1 2017 (1/1/2017 to 30/04/2017)
Academic Year: Eg 2017 Academic Year

My worry is If a student comes in September intake and is enrolled in Diploma in ICT Year 1 Term 1, i cannot assign him the fee setup above cause it is pegged on Academic term: Term 1 2017 (1/1/2017 to 30/04/2017) and the student is not supposed to be in that academic term.

Currently, the academic year is mandatory in the Fee Structure while the academic term is optional. You can create the Fee Structure without entering the Academic Term which can be applied to any academic term in that academic year.

Should we keep the academic year and academic term optional in the Fee Structure so that It can be reused every year/term until there is some revision in the fee structure of the institution? (some advice please :thinking:)

Right now academic year is mandatory and academic term is optional.

Ohk. I think ideally new fee structure should be only created when there is any change or revision in the older fee structure of any program. Academic term and academic year can be added to the fees during its creation.

As per my understanding, fee structure is applicable for an academic program such as Diploma in ICT Management, MBA, etc… The fee could be payable in lump sum or in few installments or per academic year or per academic term. What is important is the ability to track partial payments since we have to ensure that students pay entire fees before they get their certificate of completion!
